Supermarket Shelving Specification Checklist: What to Confirm Before Production

Before your supermarket shelving order enters production, every important specification should be confirmed in writing. A missing dimension, incorrect shelf depth, unclear back-panel option, or incomplete quantity breakdown can lead to production delays, additional costs, or shelving that does not fit the store layout.

This pre-production checklist explains the key specifications buyers should confirm with their shelving supplier before manufacturing begins — from dimensions and steel thickness to accessories, quantities, and shipping requirements.

Why a Pre-Production Checklist Matters

Supermarket shelving is often manufactured according to the project specification confirmed at the time of order. Even when a shelving system is based on a standard design, components such as uprights, shelves, brackets, back panels and accessories may be produced or packed according to the final configuration.

Once production has started, changes to dimensions, structure, color or quantities can create additional production work and may affect the planned delivery schedule.

A clear pre-production specification protects both the buyer and the manufacturer. It provides the factory with exact production instructions while giving the buyer a written reference for the final order.

1 Confirm Exact Dimensions

Dimensions should be confirmed for every fixture type before production. At minimum, check:

For end caps and other non-standard fixtures, always confirm the exact dimensions instead of using descriptions such as "shorter than a standard section." A small dimensional difference can affect the structure, material usage, layout and final quotation.

2 Confirm Steel Thickness and Load Capacity

Steel thickness and structural design should be matched to the intended application and required load capacity. Do not evaluate the shelving system based only on one steel-thickness number.

Confirm the specification separately for major components such as:

• Uprights / columns — confirm the selected steel thickness and structural reinforcement.
• Shelf and base panels — confirm panel thickness and reinforcement according to the required load.
• Brackets — confirm bracket thickness and design according to the shelf configuration.

The heaviest products planned for each area should also be considered. Beverage products, canned goods and bulk packaged products may require a stronger shelving configuration than lightweight merchandise.

3 Confirm Shelf Quantity and Tier Count

Shelf quantity affects both the appearance and functionality of the store, as well as the final quantity of components required for production.

• Number of tiers or shelf levels per section
• Number of shelves per side for double-sided gondolas
• Base shelf requirements
• Adjustable-height requirements for different product categories
• Different configurations for different aisles or departments

For double-sided gondola shelving, make sure the shelf quantity is confirmed per side, rather than only giving a total number for the complete gondola.

4 Confirm Back Panel Type

Back panels influence both the appearance and merchandising function of supermarket shelving. Confirm the back-panel configuration before production.

• Solid back panel — suitable for a clean, enclosed shelving appearance.
• Slat / perforated style back panel — suitable when hanging accessories or hooks are required, depending on the selected system.

If different aisles require different back-panel configurations, provide a clear section-by-section breakdown. This is particularly important for projects containing multiple shelving configurations.

5 Confirm Color and Surface Finish

Avoid confirming a finish only with general descriptions such as "grey," "white," or "black." For commercial projects, the final color should be confirmed using a color code, approved sample, or other clear reference.

• Standard powder-coated color
• Custom brand-matched color
• Gloss or surface-finish requirements
• Wood-grain or specialty finish requirements
• Logo printing or other branding requirements

For projects with strict brand guidelines, it is recommended to approve a physical color sample before mass production.

6 Confirm Special Features and Accessories

Any feature outside the standard shelving configuration should be clearly listed in the final specification.

• LED lighting and required voltage standard
• Price tag / label holder strips
• Adjustable leveling feet
• Hooks and hanging accessories
• Product dividers
• Pushers and merchandising accessories
• Other category-specific accessories

Accessories should be specified by quantity and application wherever possible. This helps prevent missing components during packing and installation.

7 Confirm Quantity and Unit Breakdown

For a complete store project, a single total quantity is usually not enough. The order should be broken down according to fixture type and store position.

• Total quantity by fixture type
• Number of sections in each aisle or run
• Number of end caps
• Number of wall units
• Special or non-standard sections
• Areas affected by columns, doors or irregular store dimensions

The final quantity should match the approved store layout or CAD drawing. This is especially important when the project contains irregular wall lengths or structural obstacles.

8 Confirm Shipping and Container Details

Production specifications are only part of the project. Shipping requirements should also be confirmed before manufacturing begins.

• Trade term: FOB, CIF, DDP or another agreed term
• Final destination port
• Delivery address when applicable
• FCL / LCL shipping requirement
• Container loading plan
• Required delivery date
• Store opening schedule

For containerized projects, an approved packing and loading plan can help improve space utilization and reduce unnecessary shipping costs.
